The Event Coordinator (EC) cultivates transformation for Breitenbush guests by creating a space for thought leaders to teach, and for guests to evolve in ways they never imagined.  The EC will work directly with the Marketing and Events Director and Marketing Specialist on the planning and execution of Breitenbush Hot Springs’ events programming, and assists as needed with marketing.

From initial contact through completion, they serve as a liaison between Breitenbush and workshop/events presenters to ensure participants have a rewarding, healing experience. Specifically they support events programming in the following ways:

Duties

Pre-Event:

  • Work closely with presenters and BHS teams up to a year in advance to ensure presenter needs are met
  • Work with the MED and Finance to develop contracts for events
  • Review past notes for each event
  • Determine whether or not additional requests are appropriate
  • Educate presenters on our policies, processes and protocols
  • Reserve guest accommodations for events
  • Release guest accommodations in time to allow for personal retreat bookings, as needed
  • Collect and organize core documentation (contracts, supply packets, W-9)
  • Highlight any special agreements
  • Maintain frequent communication with presenters and work closely with BHS teams to ensure follow-through on presenter requests

During & Post-Event:

  • Ensure event set up and take down is completed properly and on time
  • Provide orientation and immediate support for on-the-ground issues and requests during workshops
  • Coordinate the welcoming of presenters on land and ensure that they are adequately supported during the event.
  • Work with presenters after the event to finalize the financial closeout, disseminate feedback, and complete a retrospective.
  • Validate financial closeout details with Finance so that payments are delivered within 30 days of the end of each event.
  • Clearly organize documentation from event retrospectives for future reference.

Qualifications

  • 2+ years of experience in event coordination or management.
  • Excellent written and verbal communication skills. Must be able to interact and collaborate effectively with a broad range of team members, event partners, and the general public.
  • Strong organizational skills with the ability to manage multiple tasks, set priorities, delegate when necessary, and meet deadlines. Proficiency in project management tools and software is a plus.
  • Experience in drafting and managing contracts. Ability to review and highlight special agreements that are compliant with Breitenbush policies.
  • Basic familiarity with creating invoices. The EC will be directly involved with budgeting, invoicing, and performing financial closeouts, in tandem with the Finance team.
  • Welcoming, positive attitude: you will be the face of BHS and must remain grounded and pleasant with presenters and guests.
  • High level of focus and attention to detail, including the collection and organization of core documentation.
  • Proficiency with Google Suite.
  • Ability to mediate and make difficult decisions: you will have to make difficult decisions independently, the outcome of which may not be popular. In collaboration with the MED, you must diplomatically hold boundaries with presenters, guests and staff alike.
  • Detail tracking: you will track many details throughout the lifecycle of each event, and will be tracking multiple events simultaneously. Organization, transparency and accountability are critical for this task management. A single mistake could carry serious consequences for guests, the organization and the community.
  • Advocate for guest experience: you must have a passion for ensuring an excellent guest experience, and maintain daily awareness of guest spaces and activities. This involves representing presenter and guest needs to BHS teams as well as coaching presenters when they have questions and concerns.
  • Ability to motivate teams: you must empower BHS teams to follow through with presenter requests, as appropriate. This involves great communication, giving teams as much lead time as possible with requests, working with them to create procedures and schedule changes as needed, and sometimes helping them out.
  • Consistent, reliable and responsible: the Marketing and Events Team has a critical role; being ultimately responsible for a significant share of Breitenbush revenue, as well as Breitenbush’s reputation and relationship with guests and presenters upon whom the organization is dependent for its livelihood. You will make your own hours with little supervision, ensuring that you are available as needed, meeting deadlines and organizing your time efficiently.
  • Thought partnership: You will collaborate with the MED, other staff, and presenters to develop creative solutions to problems and new ideas for how to conduct events and marketing.
